Who we are
academy.theaiofficers.com is operated by Academy Printers Private Limited, trading as The AI Officer Network, Block B, Warden Court, August Kranti Marg, Mumbai 400026, Maharashtra, India. This policy covers academy.theaiofficers.com. It explains what personal data we collect, why, and what you can do about it, under the Digital Personal Data Protection Act, 2023.
Your sign-in is shared
Your sign-in, meaning your email, your password and a basic shared profile, is shared with platform.theaiofficers.com, the AI Officer platform. This policy does not govern it; the privacy policy of the AI Officer platform does. We do not delete or block your sign-in when you stop using the Academy, or when an Academy account is closed for inactivity; it is kept under that policy's own rules, which set their own limit on how long an account is kept after it stops being used. We can block or delete it if you ask us to, or if we have to close your account for a serious breach of our Terms, and we will tell you before we do. If you choose to join the network as an AI Officer on platform.theaiofficers.com, that site reads your Academy level progress and your Academy profile to set the tier it lists you at. Nothing else about your learning leaves the Academy. Nothing is read unless you start that step yourself, or a member of our team looks it up to help you.
What we collect
- What you give us. Your name, email and, if you choose, your mobile number when you sign up. Anything you add to your profile, such as a short bio or a LinkedIn address. Your answers to quizzes and exercises, files you upload for an exercise, your messages to the mentor, feedback you give on a level, including voice feedback if you record it, and help requests, including any screenshot you attach.
- What learning creates. Your level, scores, attempts, badges, certificates, streaks, your place on the leaderboard, and a history of those changes.
- Payment data. Payments are processed by Razorpay. Your name and email are passed to Razorpay so it can show you the payment screen and send you its own receipt; we send it the amount and a reference to your account. Back from Razorpay we receive the payment reference, amount and status. We never receive or store your card number, CVV or UPI PIN.
- What your browser sends. Pages viewed, device and browser type and approximate location, through Google Analytics and PostHog — only if you pressed Accept in the cookie notice.
- Technical records. Our hosting and sign-in providers keep short-lived records of the requests your device makes, including your IP address, so that the service can run and be protected from abuse. We do not keep your IP address in the Academy's own records.
Cookies and similar technology
Signing in sets a cookie so the Academy knows it is you. On your first visit we show a cookie notice: if you press Accept, Google Analytics and PostHog run and set their own cookies; if you press “Essential only”, neither runs at all. Your choice is remembered for 12 months in one cookie, aio_consent, shared with theaiofficers.com and platform.theaiofficers.com, so you answer once for the whole network, and you can change it at any time with the ⚙ button at the bottom left of any page that shows it. You can also block or delete cookies in your browser, and you can write to hello@theaiofficers.com to ask us to stop measuring your use and to delete the measurement records we hold about you. The public certificate pages carry no analytics at all, and neither do the sign-in pages or any page you see once you are signed in.
What other people can see
- The leaderboard, which other signed-in learners see, shows a coded name, not your real name, with your tier, your level, your score, your rank, how far your rank has moved since last week, how many assessments you have passed, the badges you have earned and whether you have a learning streak going.
- A certificate page is public to anyone with its link and shows your real name as it was when the certificate was issued, together with the coded name that account carries on the leaderboard. So a person who has your certificate link can match you to your place on the leaderboard.
- Nothing else about you is published by the Academy. Your profile, your work, your messages to the mentor and your scores are not public.
Why we use it
To run your account; to teach you, mark your work and adapt how you are taught, including by reusing an answer the mentor has already given when another learner asks the same thing; to take payment; to write to you about your account, your payments, your progress, and reminders when you have not been learning for a while; to keep the Academy secure; and to understand how it is used so we can improve it. Those emails are part of the service and not marketing, and you can ask us at hello@theaiofficers.com to stop the reminders. We do not sell personal data, and we do not use your work, your messages to the mentor or your answers to train AI models of our own. The AI providers we use process this material to answer or mark it, under their business terms.
Who we share it with
Service providers that run parts of the Academy for us. Each receives only what it needs to provide its service.
- Supabase: database and sign-in
- Vercel, Railway and other cloud hosting providers: hosting and background jobs
- Cloudflare: storage of files you upload
- Resend: sending email
- Razorpay: payments
- AI model providers. Anthropic (Claude) powers the mentor and helps mark work: it receives the text of your messages and answers, not your name or email. OpenAI receives the text of a question you ask the mentor, to look up whether we have answered the same question before, and receives course material we generate for a quality check. We may change or add AI model providers. Write to hello@theaiofficers.com for the providers in use at any time.

- Google Fonts: supplies the typefaces the pages use; your browser requests them from Google directly
These providers process data in data centres around the world, including outside India. We disclose data where the law requires it.
How long we keep it
We keep your Academy data while your account is open. An account that has not been used for 365 days will be closed, after the three warning emails described in our Terms, and will be deleted 30 days after that: your messages to the mentor, your quiz and exercise answers, your uploads, your help requests and the free text on your profile are erased, and what remains of your Academy record is made anonymous. Payment records are kept for 8 years because tax law requires it. Certificates already issued, and their public pages, are kept, together with the issued name printed on them and the coded name beside it; everything else on the account is erased. Your shared sign-in is not deleted when Academy data is deleted for inactivity; see "Your sign-in is shared" above.
Your rights
You can ask what personal data we hold about you, ask us to correct it, or ask us to delete it, including a certificate page. If you ask us to delete your Academy data, tell us whether you also want your shared sign-in deleted; we will not take away your access to the AI Officer platform unless you ask us to. You can also ask us to stop using your personal data where we rely on your consent, and to nominate someone to act for you. Withdrawing consent does not undo what we did before you withdrew it, and some processing, such as running your account, taking payment and keeping records the law requires, continues because we need it to provide what you paid for. Write to hello@theaiofficers.com. We respond within 30 days. Some records, such as payments, must be kept by law even after a deletion request. If you are not satisfied with our response, you may raise the matter with the Data Protection Board of India under the Digital Personal Data Protection Act, 2023.
Security
Connections to the Academy use HTTPS. Passwords are handled by our sign-in provider and are never visible to us. Access to learner data is limited to the people who need it.
Children
The Academy is for adults. We do not knowingly collect data from anyone under 18. If we learn that an account belongs to someone under 18, we close it, refund any fee paid, and delete the learning data on it. As with any account, the payment record itself is kept for 8 years because tax law requires it.
